I am very new to the position of club treasurer. Is this the proper place to enter questions about club accounting procedures? The documentation for CAO is very focused on how to use the individual transaction screens but I haven't been able to find answers to general procedural questions such as:
1) I presume that transactions must be entered in date order? So that if one is forgotten, subsequent transactions must be deleted and then reentered after the errant transaction is put in?
2) Just about the first thing I have to do is process a full member withdrawal. I have looked through those transaction screens and see that I have to choose whether to pay from the broker or the bank. I think it likely we will pay this member a combination of stock and cash. I therefore have to choose "Broker" or I can't get to the stock selection screen. (At least, if I select "Bank" CAO tells me that the withdrawal has been recorded before it shows me the stock screen -- at that point I quickly delete the withdrawal, since this is a dry run. If I select to pay from Broker, I do get to the stock screen before CAO tells me that the withdrawal has been recorded.)
But virtually all of our cash is in the bank. I can transfer it, of course, but I already am a recognized signer on the bank account -- it's taking longer to get that established at the broker so I'm not sure I can sign a check on that account right away.
The work-around that I guess I will use is to get the backup treasurer, who is continuing in her post, to sign the check on the brokerage account. Or I could do the withdrawal in two transactions, partial and then full. I would have to do the cash first because our bylaws say that a partial withdrawal can only be cash (though a quick look at CAO indicates that it will let stock be transferred for a partial withdrawal). I think that's just a bit too kludgey.
So I suppose I've answered my own question, but I do think that the system ought to let you choose to transfer stock from the brokerage (obviously) along with cash from the bank at the same time.
3) When I look at the portfolio in the Securities accounting section, I see tickers for two stocks that we no longer own, with "1E-06" in the Shares column. When I click on the symbol, I see that CAO thinks we have a shard of .000001 share of each of these. I assume this is the result of some rounding error in the purchase / reinvestment / sale of these stocks. Is there any way to make these go away?

I can answer some of this for you here. To start, I don't think there's any restriction on where you can ask questions. The main thing is that myself and the rest of the ICLUB support staff aren't on the message boards on a regular basis; I might not have seen your question if I wasn't already in this message board, checking to see if there were any other replies to the post I made the other day. Having said that, there are a lot of very smart, helpful people signed up for stockcentral. If you post a question, and one of them sees the post, they may very well reply back to it. The main difference is that with a few exceptions, the posts on StockCentral are from the community, not a company.
Now of course I'm going to break the rules a bit, and answer some of the questions here, since they deal with how the system works.
1. While we assume that you will be entering transactions in order, you can always back-date a transaction if you need to. If you miss a dividend and enter it a month late, for example, the system will update the records for any transactions that came after your transaction.
2. Which account you choose when entering a withdrawal won't have an effect on getting to pick stocks or not. Just from experience, I suspect that you may not have put a check mark in the box on the first page to show that you were entering a cash and stock withdrawal.
3. As to the question about the stocks with tiny fractional shares left over: Without having a support ticket in, and getting your OK in the ticket to look at the records, I can say the most common solution to this will be to re-do the final sale of the stock(s) in question. From my experience, that little fractional bit of a share will become selectable when you re-do the sale. Again, for something like that, the best thing would be to give us a call, or to put in a support ticket so one of the folks here can take a look at the specific stock(s) in question.

As to my questions:
1) Thanks for that information. It's good to know this.
2) Yes, I did put a check in the "transfer stocks" box, but if I chose "Bank" was not shown the stock selection page before getting a message saying that the transaction had been successfully recorded. There is a "Continue" button at the bottom of the page with the "successfully recorded" message. That might have taken me to the stock page but I thought it would be strange to go there AFTER getting that message. In the dry run I did not go any farther, selecting the "Delete" button on that page instead.
I will probably try "Bank", "Transfer" and "Continue" when the time comes since I can delete the withdrawal if it is wrong (apparently, I've done that already!). I tried this more than once, making SURE I checked the "Transfer Stocks" box. I DID see the stock page when I clicked the "Transfer Stocks" box and selected "Broker". In this case I exited the process at that point and never did see any kind of completion message.
3) Thanks. This is obviously not an important task but at some point when things quiet down I will deal with it. I will now have TWO withdrawals to process, one a death. |
