Every once in a while we'll get an email from a club or member using the message boards asking about one or more of their members who are not receiving emails that are posted to message boards. While I can't say we've never run into an issue with the servers at this end, we do check the message board service daily to make sure it's operating correctly, and work as quickly as possible to resolve any issues.
Despite these daily checks, there are a handful of issues not entirely in our control that can cause emails to not arrive. We've found three main issues that can be checked if a club or member finds that messages posted on the club's message boards are not showing up in member's email programs or sites
- The message board may not be fully set up.
- There may be an issue with some member's email information.
- The member's email service may be blocking the email.
With those in mind, here are the steps to check on each of the three issues.
Checking Message Board Setup
- When signed in to the online accounting, click ' Message Boards ' near the top of the page.
- Click the Name/Title of the message board you want to check (Mailing List, Private Messages List, etc.)
- Click the 'Message Board Setup' link on the right-hand side of the page.
- Make sure that the E-Mail Alias box is filled in.
- Make sure that you do not use anything other than letters and numbers
- Make sure that you do not put any spaces in the text (ex: use ' OurClub ' instead of ' Our Club ')
- Under the ' Send E-Mail To: ' section, make sure that each person who should receive an email posted to the message board has a check-mark next to their name.
- NOTE: Only members who have a login and password set up will appear on this list
- Click the ' Update Message Board Settings ' to save any changes.
Checking member emails and login/password.
- When signed in to the online accounting, click ' People ' near the top of the page.
- For any member who does not have a ' Yes ' next to their name in the ' Online ' column, click ' invite online ', or ' re-send invitation '
- Make sure that each member who has a ' Yes ' next to their name in the ' Online ' column, has a current, and correct email address (double-check that there are no spaces at the beginning or end of the email address)
- For any email address that is not up to date, or may have a typo, click ' Edit Profile ' for that member.
- Edit or correct the email address, and click ' Save Changes '
- If a member has recently set up a login and password, make sure to re-check the Message board settings, as described in the previous section, to ensure that their name is added to the list of members who should receive email when something is posted to the list.
Member email services
If the above settings have been checked, The next thing will be to have individual members check the Spam or Junk mail folders for their email service.
- For most email programs and services, there should be a folder marked as Spam or Junk. Check in these folders for any email from the member who sent the email.
- If the message is found, open it, and look for any options that would allow the message to be marked as safe.
- For some services this will be as simple as a Junk/Not Junk, or Spam/Not Spam button. For other services, there may be an option to add the sender or the service to a list of known, safe email addresses.
- If the email does not show up there, it's possible that it was blocked by the email provider. In that case, we would suggest to contact either the email service (such as Yahoo, Gmail, Hotmail, etc.) or Provider (Comcast, Verizon, RoadRunner, etc.), and check with them about a way to get any emails that include ' @myiclub.com ' in the sender's address to be allowed through to the inbox.
