In the past, I've put up posts on moving just a few Toolkit files, as well as moving a whole Toolkit library. Today's post is on those times when you might want to move or trade a particular portfolio of stocks.

Before starting with these steps, it’s important to remember that any file imported will default to replacing any existing copy of that file. Put another way: If everyone in the club has a copy of Home Depot on their computer, then importing most of a portfolio this way will replace the copy they already have with the one that’s being imported.

Setting Up:

  1. Create a folder on your desktop, and give it a recognizable name.
  2. In Toolkit, open the Library, and click 'New' in the Select Portfolio section
  3. Give your portfolio a name, and fill in the Proceeds and Broker Type.
  4. Click OK to create the portfolio
  5. With the portfolio created, click the 'Add' plus mark at the bottom of the Portfolio section.
  6. Select a company, and Number of shares, then click OK. Repeat this for each company you want to send.

This will create a folder you can export to on your desktop, and a portfolio of stocks that you know you're planning to share with someone.

Making the Export:

  1. Go to File > Export Data, and when the window opens, select your new portfolio from the drop-down menu at the top of the list.
  2. Set the format to .ITk or .SSG, and then click the Add All button.
  3. Click OK to bring up the 'Select Export Destination' window.
  4. Find the newly created folder on the list; select it, and click OK.
  5. Unless you have a large number of stocks, the export will happen almost immediately, and the export windows will simply disappear.

Unless you have any other work to do in Toolkit, you can close it at this point.

Getting the Files Ready to go:

  1. With Toolkit closed find the folder made at the beginning of the Setting Up section.
  2. Double-click on this folder to open it up.
  3. From the Edit or Organize menu, click 'Select All'
  4. With all of the files select, right-click on any one of them, and choose Send to > Compressed (zipped) Folder.
  5. This will create a new folder, which can be copied to a portable drive, emailed, or whatever is needed to get it from one place to another.

Once the Files Arrive:

Once the file arrives where it needs to go, the first thing will be to make sure it's in a place that's easy to find; usually this will be either on the desktop if it was sent by email, or in the portable drive if it was moved that way.

  1. Once the file is in the location you want, right-click on it and select 'Extract' or 'Extract All'.
  2. A Windows wizard will come up, and take you through a short set of steps to pick the location of the exported files (I'd suggest the desktop).
  3. With the un-zip done, open Toolkit, and go to File > Import Company > Import Several at Once > Other Data Files.
  4. With this window open, find and click on the folder where the files were un-zipped; by default, this will usually be in to a folder with the same name as the compressed/zipped file.
  5. In the Select SSG window, click on an ssg listed in the ‘Available’ column, and then click the Add. Repeat this step for each ssg you want to import.
  6. Once all the ssgs you want to import are listed in the ‘Files Selected’ column, click OK.
  7. Toolkit will ask you to select a Portfolio for the stocks. You can either pick an existing portfolio, or create a new one.
  8. Once you have the portfolio selected, click OK, and Toolkit will import the files.
